Contract Closing Services:
From Contract to Keys provides a single comprehensive virtual assistance package. Our workflow is as follows:
Phase One
- Notify all parties that I am the central point of contact for all details pertaining to the closing and that we are assisting the Agent, thereby freeing you from constant phone calls and emails. (Note: I will not negotiate or engage in dialogue that can be misinterpreted as an “Agency Law” violation. I am simply a virtual assistant.)
- Review contract for missing signatures or initials and dates in all appropriate places.
- Review documents for any missing documents to be in KW compliance. Submit to KW for review.
- Send email to client/s with missing items needed.
- Upload all documents to Dotloop/Command and enter yours and your clients contact information.
- Create Task List and check list everyday until completed.
- Send contract to lender, title company, co op agent TC and client
- Review Amendments and send to title and lender.
- Enter and submit Greensheet to Dotloop/Command.
- Verify and receive copy of earnest money. Send copy to Closing Agent, lender and Dotloop/Command.
- Set reminders of advance appointments.
- Assist Agent in scheduling home inspection and notify all parties. Agent/buyer chooses inspector. Agent agrees to send TC a list of vendors they prefer to use for their clients that will be referenced from.
- Note all deadlines and special stipulations in the contract. Send reminder of due diligence dates Agent. Agent is responsible for Repair Proposal/Repair Amendment in the appropriate dates.
- Send termite report and invoice to the title company and to the lender if requested by the lender.
- Verify pre-qualifying letter has been received and loan application has been made, appraisal ordered, send update to Agent and Co Op Agent.
- Confirm documentation of loan status. Send update to Agent and Client.
- Oversee all contingencies and stipulations are met on a timely basis-confirm appraisal is received and approved by contingency date and lender has received underwriting approval by finance contingency deadline.
- Set reminders of advance appointment reminders.
- Check status with Lender and Closing Agent and forward updates to all parties weekly.
Phase Two
- Confirm that all amendments are properly executed and received by Closing Agent.
- Send closing details to co-op Agent and Client including directions to closing office and reminders to bring driver’s license and wiring instructions.
- Provide Client with utility contacts and if applicable, property management contact.
Phase Three
- Schedule final walk –through and notify all parties. Send Agent Buyer’s final walk thru document for signatures and requests.
- Forward any final disclosures or items needed from lender or Closing Agent questions.
- Remind agent to remove lock box and sign (if your listing) prior to closing.
- Remind agent to bring a gift to closing if Agent states that he or she presents a thank you gift in their Agent profile.
- Send Agent a final email stating that all tasks have been completed for closing.
- Agent emails copy of closing documents and check to me and I upload to Dotloop/Command and send in for final review.
- Note: A commission sheet is needed for the office. I can create that for you. I will need Command, KW and your MLS log ins. KAAR requires admin access for myself. You have the option to close out your listing or sign paperwork allowing admin access.
The day of closing a fee of $350 will be invoiced to Agent through Square from Gold Medal Marketing Inc./Kim Moyer. Payment is due upon receipt.
Note: If transaction is a double sided deal, a fee of $650 will be invoiced to Agent.
